Privacy Policy

1. Introduction

RankTail ("we," "us," or "our") operates the RankTail application available through the Shopify App Store. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application.

2. Information We Collect

When you install and use RankTail, we collect the following information:

  • Store Information: Your Shopify store name, domain, and store owner email address, as provided through the Shopify OAuth process.
  • Product Catalog Data: Product titles, types, tags, vendors, and Shopify product categories from your store. We use this data to generate SEO-optimized collections and match products to relevant keywords.
  • Collection Data: Information about collections generated and published through RankTail, including titles, descriptions, meta tags, keywords, FAQ content, related collection mappings, and publishing status.
  • Campaign Data: Campaign configuration including type (auto, semi-auto, manual), keyword selections, product focus selections, and generation history.
  • Usage Data: How you interact with the App, including features used, collections generated, publishing activity, and settings preferences.
  • Billing Information: Subscription plan, billing status, and credit usage, managed through Shopify's billing system. We do not directly collect or store payment card information.
  • Analytics Data: If you connect Google Analytics 4, we access your GA4 property in read-only mode to retrieve traffic, conversion, and revenue data for your store and collections.

3. How We Use Your Information

  • To analyze your product catalog and discover keyword opportunities using AI.
  • To generate SEO-optimized collection content including titles, descriptions, meta tags, and FAQ sections.
  • To publish collections and set metafield data on your Shopify store for theme rendering.
  • To create internal links between related collections on your store.
  • To match your collections with relevant external links through the Community Backlink Network (if opted in).
  • To calculate revenue projections and performance estimates for your collections.
  • To display analytics data from Google Analytics 4 (if connected).
  • To manage your account, subscription, and plan limits.
  • To improve and optimize our application and services.
  • To communicate with you about your account, updates, and support requests.

4. AI Processing

RankTail uses artificial intelligence (powered by OpenAI) to analyze your product catalog and generate collection content. Specifically:

  • Your product titles, types, tags, and categories may be sent to OpenAI's API to generate keyword suggestions, collection titles, descriptions, meta tags, and FAQ content.
  • We do not use your store data to train AI models. Your data is processed solely to provide the service to you.
  • AI-generated content is stored in our database and on your Shopify store as metafields. You may edit or delete this content at any time.
  • OpenAI's data handling is governed by their API data usage policies.

5. Community Backlink Network

If you participate in the Community Backlink Network (opt-in by default), the following data is shared:

  • Shared with other merchants: Your collection titles, collection URLs, and associated Shopify product categories. This information is used to match relevant cross-merchant links.
  • Visible on your store: External links to other participating merchants' collection pages may appear on your published collections.
  • You may opt out of the Backlink Network at any time in your App settings. Opting out removes all shared data and external links.
  • You may exclude specific domains and product categories from the network.

6. Google Analytics Integration

If you choose to connect Google Analytics 4:

  • We use Google OAuth to request read-only access to your GA4 property.
  • We retrieve traffic, page view, conversion, and revenue data to display within the RankTail dashboard.
  • We store your GA4 property ID and OAuth tokens (encrypted) to maintain the connection.
  • We do not modify your GA4 configuration or send data to Google Analytics on your behalf.
  • You may disconnect GA4 at any time in your App settings, which revokes our access and deletes stored credentials.

7. Data Sharing

We do not sell your personal information. We may share data with:

  • OpenAI: Product catalog data sent for AI content generation, governed by OpenAI's API data usage policies.
  • Google: OAuth credentials for GA4 integration (if connected), governed by Google's API terms.
  • Shopify: Data necessary to integrate with your Shopify store, including collection data, metafields, and product associations.
  • Backlink Network Participants: Collection titles, URLs, and categories shared with other merchants (if opted in).
  • Infrastructure Providers: Cloud hosting (Google Cloud / Firebase) for data storage and application hosting.
  • Legal Requirements: When required by law, regulation, or legal process.

8. Data Storage and Security

Your data is stored on Google Cloud Platform (Firebase/Firestore). We implement appropriate security measures including:

  • Encryption of sensitive data (API keys, OAuth tokens) at rest using AES-256 encryption.
  • Encryption in transit using TLS/HTTPS for all data transfers.
  • Access controls limiting data access to authorized systems and personnel.
  • Shopify session-based authentication for all API requests.

However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Data Retention

  • We retain your data for as long as your account is active or as needed to provide our services.
  • If you uninstall RankTail, we will delete your store data within 30 days, except where we are required to retain it for legal or compliance purposes.
  • Collections published to your Shopify store remain on Shopify and are governed by your Shopify account. Uninstalling RankTail does not automatically remove published collections from your store.
  • Backlink Network entries are removed when you uninstall or opt out.

10. Shopify Metafields

RankTail writes data to Shopify metafields on your collection resources under the ranktail namespace. This includes FAQ content, related collection data, and external link data used by the theme extension. This data is stored on Shopify's infrastructure and is subject to Shopify's data policies. You can view and manage metafields through the Shopify admin.

11. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict processing of your data.
  • Request data portability.
  • Withdraw consent for optional features (Backlink Network, GA4 integration).

12. Cookies

RankTail operates as an embedded Shopify app and relies on Shopify's session management. We do not use additional tracking cookies within the App. Our landing website (ranktail.com) may use basic analytics cookies to understand traffic patterns. The RankTail theme extension does not set any cookies on your store's storefront.

13. Children's Privacy

RankTail is not directed at individuals under the age of 18. We do not knowingly collect personal information from children.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date.
